Overview


The system allows to set up different statuses for your Prebooks, according to your team's operation. The status for Prebooks will apply for Prebooks created as of the activation of this option. The existing Prebooks will remain visible in all the screens.

 



How to Activate the Prebook Statuses

Go to Setup>>Settings.

Click on Prebook Status, under Prebooks & SO's options.

 Check the Enable Prebook Status option.

 A new chart will appear where you will be able to create, edit, activate, deactivate and delete the status for the Prebooks created as of the activation of the setting.

How to Create a New Status

Go to Setup>>Settings.

Click on Prebook Status, under Prebooks & SO's options.

Click on Add new status.

 Enter the status name and check the options you want to have for this status:

DefaultThis will be the status for Prebooks as soon as they are created. Only one status can have this option enabled.
Procurement VisiblePrebooks with this status enabled will appear on purchasing screens.
Show as Ref # on POPrebooks with this status enabled will be included on the Purchase Orders as Reference Number.
Show on Sales ScreensPrebooks with this status enabled will be visible on Sales screens (Prebooks Fulfillment View, Prebooks Allocations View, Prebooks in Units Pending to be Billed).
ActiveIndicates whether the status is activated or not.

Click on Save to finish. 

How to Delete/Edit a Status

Important

The system allows to delete a status so it will not be longer visible. Before you remove a status, it is important to point out that the Prebooks already created with a status will remain with said status and you will be able to find them on Prebooks screens using the status filter. The Default status cannot be deleted.

Go to Setup>>Settings.

Click on Prebook Status, under Prebooks & SO's options.

Go to the Actions column and click on Delete/Edit. If you click on Delete, a confirmation window will appear. Click on Yes to finish. If you click on Edit, the Add / Edit Prebook Status screen will open where you will be able to edit it.

Click on Save to finish. 

How Does this Option Work on Prebook Screens?

Prebook Summary

Once this fuction is enabled, the system will enable a filter called Status as well as a column with the same name in the Prebook Summary. By double-clicking on the Status name, you will be able to change the status of a given Prebook.

Add Prebook

Once the Prebook Statuses option is enabled, all Prebooks created will have a status. They will have the Default status set, but you will be able to select which status the Prebooks will have.

How Does this Option Work on Procurement Screens?

Only the Prebooks with the option Procurement Visible will appear on the Bulk Purchasing Mode and Single Purchasing Mode.

How Does this Option Work on Sales Screens?

Only the Prebooks with the Show on Sales Screens option enabled, will be listed on the option Prebooks Pending to be BilledPrebook Fulfillment view, and the Prebook Allocations view.

How to Show the Prebook Number on the PO

If you want for Prebooks with a given status to be visible on the PDF document of Purchase Orders, check the option Show as Ref # on PO on the Setup Prebook Status screen. A new field called Reference # will appear on the PO, below the product description.

Default Status

All the Prebooks created (by any method) as of the activation of this function will have the Default status set.
