Overview


The Fulfillment view allows the sales team to track the current status of the Prebook order and know if they were fulfilled.To go to this particular screen please follow the steps below:


Go to Prebooks & SO's menu.

 Click on the Fulfillment view link at the upper side.

 

 

Available Filters in the Fulfillment View

The system allows applying several filters in order to find your orders easily. Filters applied will be taken into account in the next actions: Export Details, Print Fulfillment Report, Print Fulfillment Worksheet, and Breakdowns report.

 

Tips

The Fulfilled filter allows to search for orders pending to be billed (includes orders Partially Billed and Not Billed at All), Partially Billed (Partial), Completely Billed ( Yes) and not Billed at All (Not). You can also select All to display all orders regardless of their status.

Fulfillment Report

Notice that by clicking on Reports >>Fulfillment Report, the system will generate a PDF report based on the filters applied where you will see a list of the products, the quantity billed, and the quantity pending to be billed. The system will group the products with the same product description, product type, and unit type. Lines having notes will be displayed on separate lines. Keep in mind that there are two types of Reports available: Basic and Detailed with its corresponding sorting options.

 

Once you click on Fulfillment Report, the next window will appear:

The Detailed Report will contain additional columns such as the salesperson name, the date and time of the Prebook line creation, the vendor and customer name. Once you select this option, you will be able to include additional information in the report such as vendor code, truck date, ship to code, and Prebook tags:

Breakdowns Report

The system allows printing in a .xlsx file a Prebook Fulfillment Breakdown. To do this, go to Prebook Fulfillment Summary, use the available filters to find the orders needed, click on the Reports button and finally, click on Breakdown Report. Enter the email address where the report should be sent to and click on Send.

Order Details

The salesperson will be able to track the current status of their orders by clicking on the magnifying glass in the "Actions" column. The Order Details window will be displayed where the salesperson can view for example if the pre-sold boxes or units were confirmed by the farm. In addition to this, by hovering over the PO # the user will be able to see the PO details. If the PO is associated to an AWB, the system will display the AWB Ship Date, AWB arrival date, and last 4 digits of the AWB. If the PO is not associated to an AWB yet, the system will show the PO ship date, and the truck date instead of the arrival date.


When some of the items within the Prebook have been billed you can place the cursor over the Billed Units column and the system will display the invoice number, the truck day, and the boxes or units billed.


Print Fulfillment Worksheet

Available for Remote Printing

This document can be printed using the Remote Printing feature. In the case you want to print this document massively, the difference between Truck Date From and Truck Date To should not exceed 3 days.


The system allows users to print a worksheet in order to identify which products are pending to complete the order. You can print one worksheet at a time or massively. This file will also include the special instructions added to the Prebook (in the header), Payment Terms, Ship to information and Contact information (if applicable).

  • One at a time: once you are in the Fulfillment view, click on the printer icon in the Actions column.

  • Massive Mode: If you want to print several worksheets, use the available filters to find the Prebooks for which you want to generate the report. Click on the Reports gray button and then, click on Fulfillment Worksheets. The system will ask for an email where a .zip file with the worksheets in PDF will be sent to.

 

 

Fulfillment Forecast Report

The system allows generating a PDF file with the forecast of Prebook items with a truck date within a seven-day range. This report will display information such as salesperson, location code (for multilocation companies), truck date, product name, unit type, and units total.

Instructions:

Go to Prebooks & SO's menu.

 Click on the Fulfillment view link at the upper side.

 Use the available filters such as Location and Salesperson. In this step, it is very important to make sure you select a date range that does not exceed 7 days.

Click on the Reports button and select Fulfillment Forecast

 Enter the email address where the report should be sent and click on Send to finish. Download here an example of this report.


Print Distribution Labels

The system allows printing distribution labels for Prebooks in the same way it is done from the Bulk Purchasing Mode. This document contains information as Customer, Customer Shipping City (or Ship To city if applicable), Salesperson, Product, Truck Date, Mark Code, tags.

Go to Prebooks & SO's menu.

Click on the Fulfillment view link at the upper right hand side.

Use the available filters to find the Prebooks for which you want to print the Distribution Labels.

Click on the Reports' gray button and then click on Print Distribution Label.

 In case you have several remote printers set up, the system will ask you to select one.

Color Indicators

On the following image sample, the green cells refer to the boxes or units that were already invoiced and the yellow cells make a reference to the boxes or units that were partially billed. The red cells indicate the boxes or units that are not yet fulfilled.


Prebook Consolidated Report

The system allows generating an Excel file with the items presold within a certain date range. This reports groups the information per customer, product and Truck Date. Follow the next instructions to generate this report:

Go to Prebooks & SO's menu.

 Click on the Fulfillment view link at the upper side.

 Use the Truck Date from and Truck Date To filters to find the Prebooks for which you want to generate the report.

Click on the Reports button and select Prebook Consolidated Report.

 Enter the email address where the report should be sent and click on Send to finish. Download here an example of this report.

How Can You Complete the Orders

In case the order hasn't been completed you can go to the Allocations section to fulfill the Prebook order with available product from the on-hand inventory.


Prebook Tags Filter

Use the Prebook tags filter to find Prebook lines marked with a specific tag. This also works for Prebook lines marked as Corporate (in multilocation companies). This filter will be taken into account when using the Export Details option.
